Most auto-replies sound like they were written by a committee. "Thank you for contacting us. Your message is important to us. We will get back to you at our earliest convenience." Nobody talks like that, and customers can tell nobody is listening.
A good auto-reply sounds like a friendly person on your team, gives the customer something useful straight away, and tells them clearly what happens next. Below are templates you can copy and adapt, grouped by situation. Swap in your own details and read each one out loud before using it. If it sounds strange spoken, it will read strangely too.
Three rules for templates that don't sound robotic
- Say something useful. Every reply should give an answer, a next step or a time. "We'll get back to you" alone gives nothing.
- Write like you talk. Short sentences, plain words, contractions. Use your customer's language where it fits.
- Be honest about who is replying. If it's automated, don't pretend otherwise. People are fine with a bot that is quick and helpful.
Greeting messages
The first reply sets the tone. Keep it short and invite the actual question.
Hi! Thanks for messaging us. What can we help you with today?
Namaste! Welcome to our page. Ask us anything about prices, sizes or delivery and we'll reply right away.
Hi there, thanks for getting in touch. I'm the shop's assistant and can answer most questions instantly. If you'd rather talk to a person, just say so.
For a service business:
Hello! Are you looking to book an appointment, or do you have a question about our services?
Avoid greetings that only say "Hi, how can I help?" after the customer has already asked a question. If they wrote "price of the blue bag?", answer the price.
Away messages and after-hours replies
Away messages work best when they still help. Pair them with an AI that can answer common questions, or at least tell people when to expect a person.
Thanks for your message! Our team is offline right now and back at 10am. In the meantime I can help with prices, stock and delivery questions.
We're closed for the day, but your message is saved and someone will reply first thing tomorrow morning. If it's about an existing order, please share your order number so we can check it quickly.
Hi! We're on a short holiday for Tihar and back on Monday. Orders placed now will ship from Tuesday. Happy Tihar 🪔

Replies to price questions
"Price?" is the most common message most businesses get. The worst reply is "Please check DM" or "Inbox us". The best reply gives the price and a reason to continue.
The linen shirt is Rs 2,200. We have S to XL in white and olive. Want me to check your size?
Our basic website package starts at Rs 25,000 and the final price depends on the number of pages. Can you tell me a bit about what you need?
Room rates start at Rs 4,500 per night including breakfast. Which dates are you looking at?
For Romanized Nepali questions like "price kati ho?", reply in the same style if your brand voice allows:
Yo set ko price Rs 1,850 ho. S, M ra L size available cha. Kun size chahiyo?

Order confirmation messages
Always confirm the details back to the customer. It catches mistakes before they become wrong deliveries.
Thanks Ramesh! Your order is confirmed: 2 x cotton tee (M, black), delivered to Chabahil, cash on delivery. Total Rs 2,600. We'll message you when it's out for delivery.
Your booking is noted for Saturday at 7pm, table for 4. Someone from our team will confirm within 15 minutes.
Payment received, thank you! Your order will be packed today and should reach you in 2 to 3 days.

Complaint replies
Complaints need a fast, human-sounding acknowledgement and then a real person. Never let a template argue.
I'm really sorry about this. Can you send your order number and a photo of the item? I'm passing this to our team now and someone will get back to you shortly.
Sorry your delivery is late. Let me check with our courier. Could you share your phone number or order number?
Thanks for telling us, and sorry we let you down. A team member will look into this personally and message you within the hour.
For public comments:
Sorry to hear that! We've sent you a message so we can sort this out.

Follow-up messages
Follow-ups should be helpful and rare. One well-timed message is better than three reminders. Keep in mind that platforms limit when businesses can message customers, such as Meta's messaging window, and the rules change, so check the current policy before planning follow-ups.
- "Hi! Just checking if you had any other questions about the jacket. The medium is still in stock if you'd like it."
- "Your order was delivered yesterday. Hope you like it! If anything isn't right, just reply here."
- "Thanks for visiting us last weekend. If you have a minute, we'd love to hear how it went."
- "The trek dates you asked about are filling up. Would you like me to hold a spot while you decide?"
How to adapt templates to your business
- Add your real details. Prices, sizes, delivery areas, opening hours. A template with blanks feels like a template.
- Match your brand voice. A streetwear page can be casual. A clinic or a bank should be calm and formal.
- Keep the facts in one place. If prices change, you want to update them once, not in twelve templates. This is where an AI bot trained on a knowledge base beats fixed templates.
- Test on your phone. Long messages that look fine on a laptop become walls of text on a small screen.
Templates or AI?
Fixed templates are great for predictable moments like greetings, away messages and confirmations. They struggle with real questions, because customers rarely ask in the exact way you expected. An AI chatbot can use your templates as a style guide and still answer the question the customer actually asked. Our comparison of AI and rule-based chatbots goes deeper into that trade-off.

Can I use the same auto-reply on WhatsApp, Instagram and Facebook?
Mostly, yes, with small changes. Instagram messages are often more casual, while WhatsApp customers may expect slightly more detail. Keep the facts the same everywhere and adjust the tone.
Are WhatsApp template messages the same as auto-replies?
Not exactly. On the WhatsApp Business API, messages sent outside the customer service window generally need pre-approved templates and may be charged. Replies inside an open conversation work differently. Check Meta's current WhatsApp pricing and policy for details.
