If you sell on Instagram, your DMs are your shop counter. People ask the price, check if a size is in stock, ask about delivery to Pokhara, then decide. The problem is that they ask at 10:30 at night, on a Saturday, or in the middle of a live session when nobody on your team can type fast enough.
Instagram DM automation fixes the timing problem. Done well, it answers the routine questions instantly and passes the real conversations to your team. Done badly, it annoys customers or gets your account flagged. This guide is about doing it well.
What Instagram DM automation actually means
There are two very different things people call "automation":
- Rule-based replies. A message contains a keyword, the customer gets a fixed answer. Good for "price", "location" or "hours". Breaks as soon as someone asks a question you didn't predict.
- AI replies trained on your business. The system reads the customer's message, finds the answer in the information you gave it (products, prices, delivery rules, return policy) and replies in normal language.
Most businesses need both. Keyword triggers are great for campaigns ("comment LINK to get the offer"). AI is what handles the long tail of real questions, like "M size ma red color cha? Dharan ma kati din lagcha?"
Use the official API, not a password-sharing app
This is the part that protects your account.
Some cheap tools ask for your Instagram username and password, then run a fake "phone" that taps through your inbox. That is against Instagram's terms, and accounts using them can be restricted without warning.
Proper tools connect through Meta's official messaging API. You log in through Meta, approve the permissions, and never share your password. If a tool can't explain how it connects, treat that as a no.
What you need before you start
- An Instagram professional account (business or creator). Switching is free in the app settings.
- Depending on the connection method, a Facebook Page linked to that account.
- Admin access to both, so you can approve the connection.
- Your basic business information written down: products and prices, sizes or variants, delivery areas and charges, payment options (eSewa, Khalti, bank transfer, cash on delivery), return or exchange rules, and opening hours.
That last point matters most. The bot can only be as accurate as the information you give it. We wrote a separate guide on preparing product info your chatbot can use.
What to automate, and what to keep human
Good candidates for automation:
- Price, stock and size questions
- Delivery areas, charges and timelines
- Payment methods
- Opening hours, location and directions
- Collecting order details: name, phone number, address, item
- Replies to story mentions and story reactions
Keep these with a person:
- Complaints, refunds and damaged orders
- Bulk or wholesale enquiries, where someone can negotiate
- Anything sensitive or personal
- Any customer who asks for a human
A good setup hands these over automatically, with the whole conversation attached, so your team doesn't have to ask the customer to repeat themselves.
The 24-hour messaging window
Meta limits when a business can message someone on Instagram. In general, you can reply freely for a period after the customer's last message, often described as a 24-hour window. Outside it, you are much more restricted. The exact rules change from time to time, so check Meta's current messaging policy.
In practice, this is one more reason fast replies matter. An enquiry answered the next afternoon may already be outside the window where you can follow up freely.
Story replies and mentions
When someone replies to your story or tags you in theirs, that lands in your DMs too. It's an easy win:
- Thank people who mention you, and invite them to check a current offer.
- When someone reacts to a product story, reply with the price and a direct way to order.
These are warm conversations. The customer started them, so a quick, friendly reply usually lands well.
How to know if it's working
Track a few numbers for the first month:
- Time to first reply. It should drop from hours to seconds.
- Share of conversations resolved without a human. Start modest; it rises as you add answers the bot was missing.
- Orders or leads captured from DMs. This is the number that pays for the tool.
- Handoffs. Read them every week. Each one tells you what to add to your knowledge base.
Mistakes we see most often
- Automating before writing anything down. If your prices and delivery rules only live in someone's head, the bot will guess or stall. Write them down first.
- One giant welcome menu. Ten buttons in the first message feels like a phone tree. Answer the question the customer actually asked.
- Never reading the conversations. The first two weeks tell you exactly which answers are missing. Set aside fifteen minutes a day to read them.
- Hiding the human. If someone types "talk to a person", a good setup hands over immediately instead of trying one more automated answer.
- Forgetting about stock. If an item sells out and the bot still says "available", you've created a complaint. Update stock notes when it changes, or tell the bot to confirm stock with your team before promising.
Getting started
If you'd rather not build it yourself, that's what we do. Orbit connects through the official API, learns your catalog and policies, replies in whatever language your customers write (Romanized Nepali included), and hands tricky chats to your team. Can Instagram ban my account for using DM automation?
Tools that connect through Meta's official messaging API are allowed. The risk comes from apps that ask for your Instagram password and imitate a person tapping the screen. Those break Instagram's terms and can get an account restricted.
Do I need a business account to automate Instagram DMs?
Yes. You need an Instagram professional account (business or creator). Depending on how it is connected, it may also need to be linked to a Facebook Page.
Will customers know they are talking to a bot?
They should. Be upfront in the first reply and make it easy to reach a person. Customers mind slow or wrong answers far more than they mind automation.
